Built to work together
See how agents using itrvl and the Reservations team in the Window collaborate on an itinerary from quote to travel.
itrvl Team
Product Team
itrvl and the Window are similar to a shared workspace, built for different roles. Agents use itrvl to check availability, build quotes, and share travel details with their clients, all of which flows into the Window for Reservations to pick up and finalize.
Agents can't do everything in itrvl, but they can answer most of their own questions and avoid unnecessary back-and-forth.
It's a connected system that keeps everyone in sync. Here's how it works at each stage of the booking process.
Travel agents are able to explore options independently while staying connected to live data from the Window.

When a travel agent uses itrvl, they can see the same accommodations and live availability shown in the Window. They can build a quote from step 1 to 3 — selecting a client, setting up the pax arrangement, and choosing accommodations and room types. Once the quote is ready, they generate it in itrvl and a Booking Reference number is automatically assigned.
Key benefit: Travel agents with product knowledge can answer their own questions in itrvl and create quote templates that clearly communicate their requests to Reservations.

That Booking Reference number and itinerary are instantly visible in the Window, tied to the agency code and client name from itrvl — keeping both sides aligned.
Key benefit: Single source of truth for all pricing and inventory data.
Real-time synchronization keeps both teams aligned

Travel agents add activities and transit linked to real rates and availability to their itinerary, reflecting the Window's data. All changes sync automatically to the booking in the Window.
Designer role: Focus on creative itinerary building with live pricing feedback.

Reservations can see the same itinerary as the agent and can make updates or logistical adjustments with more context.
Reservations role: Handle supplier relationships and final confirmations.
Updates flow seamlessly between systems

Travel agents use itrvl to build and communicate the key details of a trip, but final logistics — like supplier rates and availability, commercial flights, and sign off on itinerary price — are handled by Reservations. With the quote already in place, Reservations can step in with full context and move the itinerary from quote, to provisional, to confirmation.
Window control: Reservations can make detailed adjustments with full system access.

Reservations contacts suppliers as needed, confirms pricing, and makes updates to confirm quote pricing — which the travel agent can then view and present.
Real-time sync: Designers see updates instantly without manual refresh or data entry.
Agent-issued payment links flow instantly into the Window

Travel agents create invoices based on their gross pricing. They have visibility of their margin and are able to create their own payment links.
Key benefit: Ability to create payment links themselves and adjust invoices.

Once payment is made by clients, deposit amount syncs to the Window's financials tab for Reservations' internal invoicing and supplier payment tracking.
Financial control: Complete visibility into payment status and cash flow.
Coordinated changes with maintained synchronization

After confirmation, travel agents are guided to request changes through Reservations.
Clear handoff: Designers know exactly when to involve Reservations.

All updates made post-confirmation automatically sync to itrvl, keeping both sides aligned. Version history tracks all changes with timestamps.
Always in sync: No manual updates or duplicate data entry required.
Travel agents can independently manage the basic quoting, reducing bottlenecks and increasing productivity.
Reservations teams can focus on high-touch, high-value work like supplier relationships and complex problem-solving for commercial flights and third party availability.
Everyone works from the same data, eliminating discrepancies and ensuring consistent client communication.
